Running Payroll

Learn how to run payroll in ZipHR.
CREATE BATCH
On the Payroll Dashboard, click <CREATE BATCH> and complete the Batch Details.
- Batch Cycle - select relevant Batch Cycle that you wanted to create/run
- Payroll Year / Month - month that payroll will be classified for reporting purposes
- Monthly Batch Period - select batch number for the designated month. For instance, if the batch is a semi-monthly batch, choose "1" if it is the first batch in the month or "2" payslip if it is the second batch.
- Contribution Year/Month - month for which regulatory contributions shall be filed.
- Payroll Start/End Date - period for which the wages will apply
- Attendance Start/End Date - period for which attendance records apply. For example, you may choose to make the attendance period end prior to payroll end to allow more time for timekeeping processing.
- Expected Payment Date - the date when the batch is expected to be paid. Note this date is for reference purposes only to notify you of upcoming payments due.
- Final Yearly Payslip - select YES if this is the last payslip of the year so that year-end Tax Reconciliation will be automatically run.
All other details for Calculations, Other Payments, Including Employee and Authorized Approvers may be viewed by the Payroll Manager, but can only be amended by a Payroll Administrator for security purposes.
CALCULATE BATCH
Calculate for
- Newly Created Batch - generate initial payroll calculation
- Existing Batch - to recalculate all payslips with a status of OPEN or PENDING
Payslips of all other statuses are locked from the calculation, as they have already been marked as Verified and are awaiting approval.
The following option are available prior payroll calculation:
- Refresh Payslip Profile - reset all payslips to take on the current Employee Payroll Settings. This is useful if you have made a bulk change to multiple profiles and would like all refreshed.
WARNING: Any previous amendments made to payslip profiles will be entirely replaced. - Refresh Other Payments - reset all recurring Group Other Payments and Profile Other Payments. This is useful if you have made a change to either Group or Profile Other Payments that you would like to reflect in bulk.
WARNING: Any previous amendments made to Group or Profile Other Payments will be entirely replaced. - Reconcile Tax - calculate estimated year-to-date tax for all payslips and make an automatic adjustment to payslip Tax Payable.
- Calculate - this will calculate the amount in the batch of the employees. This will also proceed to the next step which is analyze batch.
ANALYZE BATCH
Review the details of what has been calculated.
Chart
A graphical payroll analysis is available to quickly review the Total Payable and Other Payments computed per Department, Position, Branch and Cost Center.
TIP: You have the option to HIDE or SHOW CHART beside the search bar.
Review Payslips
Review the data summary of employees by Wages, Other Payments, Contributions (EE), Tax and Total Payable.
Click on a specific payslip to review employee's detailed computation.
The following functions are also available to easily review payslips that require immediate action.
- Validations - filter payslips marked with validation warnings requiring particular attention.
- Terminations - filter final separation (termination) payslips
Payroll Status
Bulk change payroll batch statuses based on your approval rights.

COMPARE BATCH
Select a historical payroll batch to compare each matching payslip for differences in wages, other payments, contributions or taxes.
Click on any payslip to view PAYSLIP DETAILS.
