Bulk Data (Import / Export)

Bulk upload and download all Employee Data with ease.
Employees with User Rights to EDIT Employee Data, will be able to access the Bulk Data feature.
DATA ACCESS RIGHTS
Employee Data is separated into sections to provide more control and security over bulk data.
Only employees with following My Team User Rights may
- Bulk Export Data - with VIEW rights
- Bulk Import Data - with EDIT rights

EXPORTING DATA
Before you export data, use the filters in My Team to limit the report to only those employees you wish to see.
Click the <Bulk Data> in Options & Settings
Select the section(s) of data you would like to view and export!
IMPORTING DATA
Get the template in Bulk Data > Type > Import; Download Template > Master Profile Import

CREATE EMPLOYEE (REQUIRED DATA)
You can start adding employees with as little data as you like, then continue adding as you go along.
The only required fields to automatically create a new employee in ZipHR is the FIRST NAME.
- First Name - Required
- Employee ID - highly recommended to add your internal Employee ID at the start in order to better map any subsequent data to be imported
If no Employee ID is specified, then Employee ID will automatically be set to ZipID - Company Email / Mobile Number - Either an email or mobile is required
Must include + country code and area code - User Rights - always added as "Employee" to only provide basis system access as default
- All Other Data - may be also provided whilst creating employee
All employees will be added as "Active" by default, unless you specify them as "Inactive" (Not currently employed). But don't worry the employee will not have any access to the system until you formally INVITE them to the system.
MANAGING DATA
Once you have created employees, you may update their data in bulk anytime.
- ZipID / Employee ID - you must include either of these for us to recognize who's data you are updating
- Email / Mobile Number - email and/or mobile number are used as unique identifiers for login credentials and password security in ZipHR. We highly recommend you include these prior to Inviting employees to join the system.
- Departments, Positions, Groups, Branches and Cost Centers - all automatically added to the system upon import if they do not already exist, saving you tons of time to set these up manually
- Dates - format dates as YYYY-MM-DD
- Data Details - access these articles to understand what each data field is in detail
- Custom Fields - add any custom data field to employee profiles as you wish
IMPORTANT - You may also manage your bulk employee data via the Profile Manager as an alternative to using import worksheets.
APPENDING VS. OVERWRITE
- Append - Only data that is provided will be added, blank cells will be ignored
- Overwrite - Replaces all existing data
WARNING: Any blank cells in the import file will cause existing data to be PERMANENTLY DELETED - Import Notifications - ZipHR will send you an email and browser notification once the import process is complete. This usually takes a few seconds, but can take a few minutes if your file is very large.
- Success! - notification will state how many files were successfully uploaded
- Failure - a detailed report of where the import failed will be provided so you can make amendments and import again
