Leave Activities
Settings > Time & Leave > Activities
Configure the various types of leave activity that you provide to employees.
ACTIVITY TYPE
- Activity Name - name the activity whatever you like, such as "Vacation Leave", "Sick Leave", "Unpaid Leave" etc.
- Off-work - leaves should be set as off-work activities
- Paid/Unpaid - activities such as Vacation Leave are typically paid whilst Unpaid Leave/LWOP is unpaid
- Requestable - leaves are generally requested by the employee, rather than rostered by a manager
Changing Requestable to Rostered activity is restricted by default after creation. Important that prior setting up an Activity and rostering schedules, it should be clear how an Activity must be created in the app. - Taxable/Non-Taxable - leaves are generally taxable in nature unless stated that they should be treated as non-taxable income such as Maternity leave
AUTHORIZATIONS
- Can be scheduled on a Holiday - set as NO, to automatically skip holidays when an employee requests leave
- Can be scheduled on a Rest Day - set as NO, to automatically skip normal rest days when an employee requests leave
- Requires Manager Approvals - set as YES, if you require the activity to be approved before being added to the calendar.
- Require Employee Consent? - typically set as NO, unless you require the employee to agree to the schedule before being committed to the calendar
- Notice Period - number of days a leave must be requested in advance
- Past Filing Limit - number of days a leave may be requested past the leave date, in case of situations like sick leave where the employee does not have prior notice
You can only fill in either Notice Period or Past Filing Limit per activity.
WAGE SETTINGS
(will only appear if the activity is classified as PAID)
- Wage Basis - define what Wage Basis the leave is paid at
- Wage Type - select "Leave Pay" to properly classify it in payslips and reporting
- Wage Paid - set as "Wage Rate" to be a percentage of the selected Wage Basis, or choose a fixed rate or range of rates to be applied
- Wage Rate - set as a percentage of Wage Basis (typically 100%), a fixed rate, or a range of rates based on the number of event hours
REQUESTABLE ACTIVITIES
- Are the yearly awards accrued? - set as YES if a fixed number of leave days are awarded, such as for Vacation Leave. NO, if an uncertain or unlimited number of leave days are provided, such as for Work Accident leaves.
- Maximum Days Requestable - you may choose to limit the number of continuous leave days that can be requested
- Annual Anniversary Date
- Hire Date - if you want leave days to be accrued based on the date they were hired
- Fixed Date - if you want leave days to be accrued on a fixed day of the year, such as 01 Jan
- Fixed Date Prorate - select NO if the leave allowance days will not be prorated based on the joined date of the employee
- Ex: The employee joined March during the year and the leave allowance days is 12.
- If Yes, leave credits will be prorated based on the join date. So employee will receive a total leave credits of 10 only as Jan to Feb was not earned
- If NO, the leave credits will not be prorated, hence, the employee will receive the full leave allowance days of 12
- Ex: The employee joined March during the year and the leave allowance days is 12.
- Fixed Date Prorate - select NO if the leave allowance days will not be prorated based on the joined date of the employee
- Birthday - if you want leave days accrued based on employee's birthday
- Accrual Interval - do you award the leave on a monthly, quarterly, bi-annual or annual basis?
- Accrual Basis - select START if leaves are awarded from the first day an employee is hired, or END if only awarded at the end of the first Accrual Interval
- Accrual Limit - you may choose to put an overall limit to the total number of leaves that can be accrued. For instance if set as 12, regardless of the leave policy the employee will never accrue more than 12 days of available leave
- Probation Period Block - select YES if you do not provide the leave whilst the employee is on probation
- Leave Blackout Period - you may also select a fixed number of days from the employee's hire date where leave will not be available
- Allow forward balance - select YES if you allow employees to request leave based on the available balance they will have accrued by the date of the leave request
- Is Primary Leave - select YES if you would like the leave to appear on the dashboards as one of the employee's key leave types, such as "Vacation Leave" or "Sick Leave".
- Gender - select a gender to make this leave option available to that gender only. Leave it blank if it is available for both genders.
- Example: Maternity Leave - "Female"
CARRY OVER
- Carry Over Status - select if Carry Over is:
- Unlimited - no expiration
- Limited - configurable base on the policy
- No - no carry over at all
- Carry Over Date - select "Anniversary" if leave is carried over on the specified Carry Over Anniversary Date. "Award" will carry over leaves from the date the leave was awarded to the Carry Over Expiry (Months).
- Carry Over Anniversary Date - "Hire Date" will carry over leaves on the annual day employee was hired, and "Fixed Date" will carry over leaves on the specified Carry Over Anniversary Month.
- Carry Over Limit - "Full" will carry over the entire unused balance from the previous period, whilst "Limited" will only allow the Limit (days) to be carried over
- Carry Over Expiry (months) - number of months after the Carry Over Anniversary Date that any unused carryover leave will be entirely expired
- Carry Over Offset (months) - if Carry Over Limit is "Limited" you may specify the number of months after the Carry Over Anniversary Date that the limit is applied. For instance
- The employee has 12 days of unused leave
- Carry Over Anniversary Date = 01 Jan
- Carry Over Limit = 5 days
- Carry Over Offset (months) = 3
- Carry Over Expiry (months) = 6
- as of 01 Jan, 12 days will be carried over. After the 3-month Carry Over Offset, the carryover limit of 5 days will be applied. On the 6th Carry Over Expiry month, all unused carry over will be expired.
