Timekeeping Calculations (Working, Tardy, Absent and Overtime)
With ZipHR, each working event is tracked, calculated and recorded with a high-degree of detail to ensure accurate payroll wage calculations.
CONFIGURATIONS
Attendance configurations are controlled across several levels to enable advanced features that can be easily customized per company, activity, employee and calendar event.

WORKING TIME
Time worked is calculated as per the following example.
- Scheduled Hours and Break Hours are the times the event was scheduled for
- Actual Hours and Actual Break are the employee timekeeping stamps recorded from the ZipHR mobile or tablet bio-metric attendance applications
TARDY
Tardy is calculated separately for Tardy-in, Break Tardy and Undertime.
- Tardy-in - checking in late to work
- Break Tardy
- Fixed Break - employee may only take break during specified break hours.
- Example
- Scheduled Break: 12:00 - 13:00
- Actual Break: 11:45 - 12:45
- Break Tardy: 15 min; as break-in recorded prior to allowed break time
- Example
- Flexible Break - employee may take break anytime during the work day.
- Example
- Scheduled Break: 12:00 - 13:00
- Actual Break: 11:45 - 12:45
- Break Tardy: 0 min; as employee is allowed 1 hour break anytime during the work day
- Example
- Fixed Break - employee may only take break during specified break hours.
- Undertime - check-out prior to scheduled end time
- Total Actual Tardy = Tardy-in + Break Tardy + Undertime
Total Actual Tardy hours may then further be adjusted for Tardy Grace and Tardy Rounding specifications to arrive at the final "Tardy" record.
- Tardy Grace - Tardy will only be recorded if Total Actual Tardy exceeds Tardy Grace
- Tardy Rounding - tardy may be rounded up to the nearest 15, 30 or 60 minute interval
- Example
- Total Actual Tardy = 16 min
- Tardy Grace: 15 min
- Tardy Rounding: 30 min
- Tardy: 30 min; Total Actual Tardy exceeded the 15 min Tardy Grace and was rounded up to the nearest 30min interval
ABSENCE
Absence is recorded if the employee fails to either check-in or check-out to work.
- Expressed in days, absence is calculated as the number of Scheduled Hours divided by the employee's Expected Working Hours per Day.
For example, if the event was a half-day event scheduled for 4 hours, whilst the regular Expected Working Hours per Day is 8 hours, the event would be marked as 0.5 days absent.
START CORE HOURS
Start Core Hours allows the employee to enjoy a flexible window to check-in to work without being marked tardy.
For example
- Scheduled Start - 09:00
- Start Core Hours - 08:00 - 10:00
- employee will not be marked Tardy-in if they check-in prior to 10:00
- employee will not be credited for any check-in hours prior to 08:00
- Undertime will be calculated as Scheduled Hours minus Actual Hours, regardless of their check-out time
ABSENCE & HALF-DAY THRESHOLD
Automatically mark event as Tardy for a half-day or full-day if they are tardy for more than a specified number of hours.
For example
- Scheduled Hours - 08:00 hour day
- Half-Day Threshold - if employee is tardy for more than 03:00 hours, they will be marked tardy for 04:00 hours as a half-day
- Absence Threshold - if employee is tardy for more than 06:00 hours, they will be marked tardy for 08:00 hours as a full-day
Note: employee will not be marked as Absent, as that implies that they did not show up to work at all
OVERTIME WINDOW
Allow overtime to be considered as part of a one single event.
For example
- Scheduled Hours - 10:00 hour day, first 8 hours is paid in regular rate and next 2 hours is paid in different or higher rate
- Scheduled Hours - 09:00 - 1800
- Overtime Window - will be 18:00 - 20:00
Note: if there will be a set overtime window to employee, checkout time will prompt at end of Overtime Window
